The Relationship Maintenance Schedule: How Often to Contact Everyone

Different relationships need different frequencies. Here is a framework for how often to reach out to each tier.

The most common question in relationship management: how often should I stay in touch? The answer depends on the relationship, but having a defined schedule for each tier is more important than getting the exact frequency right.

Tier 1: Inner Circle (Contact Monthly)

Your 15 to 30 most important professional relationships. Key clients, top referral sources, mentors, close collaborators. These are the people who directly impact your business and career. Monthly contact โ€” a call, a coffee meeting, a meaningful email โ€” keeps these relationships warm and productive.

Tier 2: Active Network (Contact Quarterly)

Your next 50 to 150 contacts. Active clients, regular referral partners, industry colleagues. Quarterly outreach โ€” a check-in, a shared article, a brief update โ€” maintains the connection without overwhelming either party.

Tier 3: Extended Network (Contact Semi-Annually)

200 to 500 contacts. Former colleagues, conference acquaintances, dormant clients. Twice a year โ€” perhaps a year-end note and a mid-year check-in โ€” keeps you in their awareness without being intrusive.

Tier 4: Broad Network (Contact Annually)

Everyone else. An annual touchpoint โ€” a holiday message, a birthday note, a congratulations on a LinkedIn milestone โ€” prevents the relationship from disappearing entirely.

The System Matters More Than the Frequency

The exact cadence is less important than having one at all. A professional who contacts their inner circle monthly and their broad network annually will maintain a far healthier network than one who contacts everyone sporadically based on when they happen to think of them.
