Your Email Signature Is a Networking Tool (Most People Waste It)
Your email signature is seen hundreds of times per month. Here is how to make it work for your professional brand.
Your email signature appears at the bottom of every message you send. If you send 50 emails per day, that is 1,500 impressions per month โ more than most social media posts. Yet most professionals treat their signature as an afterthought.
What to Include
- Name and title โ Obvious, but include a human-readable title, not corporate jargon.
- Phone number โ Make it easy for people to call you. Include the number you actually answer.
- One link โ Your website, your LinkedIn profile, or a booking link. Not all three. One clear call to action.
- Brief value statement โ One line that explains what you do in human terms. "Helping professionals maintain the relationships that drive their business" is more useful than "VP of Business Development at XYZ Corp."
What to Exclude
Long disclaimers, multiple social icons, inspirational quotes, animated graphics, and anything that makes the signature longer than four lines. A cluttered signature looks unprofessional and distracts from the message.
The Networking Angle
A well-crafted email signature is a passive networking tool. When your email is forwarded โ and professional emails are forwarded frequently โ your signature introduces you to the new recipient. A clear signature with a compelling value statement and easy contact information turns every forwarded email into a soft introduction.
