A Flow Sphere runs a sequence for you: send an email, wait, remind you to follow up. Build it once, then drop people in and let it run.

Why it matters

Some relationships start the same way every time. Someone signs up, applies, or gets referred, and you want them to hear from you on a predictable schedule without rebuilding that plan from scratch each time.

It also means the follow-through doesn't depend on you remembering. The busy weeks stop being the ones where a new contact quietly falls through.

How it works

A Flow Sphere is an ordered list of steps: send a templated email, wait a set amount of time, or create a reminder for you. When you add a contact, they start at the first step and move through it on their own, at whatever pace you built. Nobody needs another click from you after that.

How to use it

  1. On the web: create a new sphere and set it up as a Flow Sphere rather than a regular one.
  2. Add steps in order: a send step (pick an email template), a wait step (set how long to pause), or a remind step (creates a reminder for you).3. Reorder or edit steps any time, even after contacts are already moving through them.
  3. Drop a contact in from their profile, in bulk, or by asking Whiz, and they start at step one automatically.
  4. Pause or remove a contact from the flow if their situation changes; they simply stop progressing.

Good to know

  • A single Flow Sphere is capped at 300 contacts, so it stays a real sequence and not a mass blast.
  • Send steps can pull from any email template you've built, including its personalization fields.
  • If you delete a step, contacts already sitting on it move up to the next one automatically. Nobody gets stuck.
  • Use a Flow Sphere when the plan is the same for everyone and should run without you. Use a regular sphere when you just want a group with a cadence, and a Pipeline when the plan changes person to person and you want to track it stage by stage.
